As for the locations and timing of the events, I’d probably have a big ‘market’ with a permanent hub of shops open every day that also hosts (bi)weekly farmers markets and full moon festivals.
The traveling merchants would hit major settlements every month and spend the intervening time in transit to and from outlying habitats. Regular (static) merchants can keep heavy/bulky inventory so travelers may sell off cheaply before moving on and those local merchants could maintain some inventory of goods not produced locally.

Thinking about this a little more abstractly...
We could model the availability/redundancy/quality of goods and services according to Maslow's hierarchy https://en.wikipedia.org/wiki/Maslow...archy_of_needs Purveyors of food/water/shelter are common and plentiful, even small outlying communities could regularly provide some excess for sale. As you climb through security, psychological and prestige tiers things that support those goals become rarer and more expensive, perhaps only being available at certain times or in specific locations.
